Alexandria Youth Baseball Association (AYBA) in Alexandria, Minnesota, replaced clipboards and printed spreadsheets with the TeamGenius player evaluation app for its 2025 youth baseball tryouts.. Evaluators now score players by photo and number instead of name, and results compile automatically and securely. Everyone involved called it the most efficient evaluation in memory.

About Alexandria Youth Baseball Association

Alexandria Youth Baseball Association (AYBA) is a volunteer organization responsible for providing baseball opportunities for the youth of Alexandria, Minnesota. AYBA serves players in grades 2 through 12 across in-house leagues, travel teams, and high school and American Legion baseball. Like many community programs, AYBA runs on the time and energy of parent volunteers — which made tryout season a heavy lift. We spoke with Scott Dack, Travel Director at AYBA, about how switching to TeamGenius changed the way the association evaluates players.

The Challenge: Clipboards, Printed Spreadsheets, and Hand-Compiled Scores

Before TeamGenius, AYBA ran player evaluations the way many volunteer-run associations still do — on paper. Evaluators worked from clipboards and printed spreadsheets, and a few volunteers spent tryouts running all over the field to collect them. The work didn’t end when tryouts did. Every score had to be compiled by hand afterward, which was slow, prone to errors, and left sensitive player data sitting on loose sheets of paper.

“We used to have multiple clipboards and multiple printed spreadsheets and a couple of volunteers running all over the field with those during and after the evaluation,” said Scott Dack, Travel Director at AYBA. “Compiling the data by hand was a nightmare and not real secure.”

The Solution: A Secure, Mobile Evaluation App With Hands-On Onboarding

AYBA switched to TeamGenius’s baseball player evaluation app for its 2025 evaluations, giving evaluators a way to score players in real time from a phone or tablet. Instead of carrying paper around the field, every score went straight into one secure, central system. Getting started turned out to be the easy part.

“It was significantly easier than I had expected,” Dack said of AYBA’s first season with TeamGenius. “Gabe was excellent at helping guide us through the process!”

As with any change, there was some initial hesitation from the evaluators. A little preparation went a long way. AYBA shared information about the app ahead of time and had evaluators watch a few short training videos before tryouts.

“The evaluators were a bit hesitant initially, but after we gave them some information and had them watch a few videos, they were excited about the ease of use,” Dack said.

“The fact that we can identify the athlete by picture and number helps us to keep the evaluations as objective as possible.”

The Result: The Most Efficient Evaluation in Memory

AYBA’s first evaluation with TeamGenius in 2025 was a clear step up. “That evaluation was reported by everyone involved as being the most efficient in memory,” Dack said.

More secure, more accurate data. With scores captured digitally, AYBA no longer has stacks of paper to track down or protect, and compiling results is fast. “We are able to keep the data much more secure now,” Dack said. “We also compile the data quickly and don’t worry as much about errors from the evaluators.”

More objective evaluations. In a community program where evaluators often know the families, fairness matters. TeamGenius lets AYBA identify each athlete by photo and number, so evaluators score what they see on the field — not a name on a list. “The evaluators don’t know the names of the athletes,” Dack explained, which “helps us to keep the evaluations as objective as possible.”

Flexible groupings mid-tryout. Dack’s favorite feature is the ability to move players between evaluation groups during tryouts. “The fact that we can easily move the athletes around at the midway point of the evaluation in order to properly assess the players in their respective groups helps us a lot,” Dack said.

What surprised AYBA most was how much more the app could do beyond basic scoring. “The fact that we can utilize the app in so many ways!” Dack said.

Looking Ahead: Tracking Player Development Year to Year

AYBA is already fine-tuning its setup to make scoring even more efficient. The association also plans to use its evaluation scores as a long-term development record. “We also plan on tracking the evaluation scores as a way to watch how the athletes develop year to year,” Dack said.

“Keep up the great work! We are excited to see how this helps us get even more efficient as time goes on!”

Asked what he would tell a friend on the fence about using a player evaluation app, Dack kept it simple:

“I would ask them how much they value their time. The time savings alone was worth the cost of admission!”

Frequently Asked Questions

How does Alexandria Youth Baseball Association use TeamGenius for baseball tryouts?

AYBA evaluators score players on a mobile app during tryouts instead of using clipboards and printed spreadsheets. Scores are compiled automatically and stored securely, so volunteers no longer collect and tally paper by hand.

How can a volunteer-run baseball association make tryouts more objective?

AYBA uses TeamGenius to identify each athlete by photo and number rather than by name. Because evaluators don’t see players’ names, scores are based on performance on the field, which helps keep evaluations as objective as possible.

Can you move players between groups during a baseball evaluation in TeamGenius?

Yes. AYBA moves athletes between groups at the midway point of its evaluation so each player is assessed alongside peers at a similar level. It is one of the association’s favorite features.

Is it hard for volunteer evaluators to learn a player evaluation app?

AYBA’s evaluators were hesitant at first, but after reviewing some information and watching a few short videos, they were excited about how easy the app was to use. AYBA described onboarding as significantly easier than expected.

Can TeamGenius track player development over multiple seasons?

Yes. AYBA plans to use its evaluation scores to track how athletes develop from year to year, building a long-term record of player progress.
